ICPPRN552 Mapping and Delivery Guide
Manage digital workflow

Version 1.0
Issue Date: March 2024

Qualification -
Unit of Competency ICPPRN552 - Manage digital workflow
Description
Employability Skills
Learning Outcomes and Application This unit describes the skills and knowledge required to manage digital workflow from concept stage to completion and delivery of a final product for publication. The final product may be paper based or electronic. This unit applies to individuals responsible for managing and optimising a digital workflow in a range of commercial environments. No licensing, legislative or certification requirements apply to this unit at the time of publication.
Duration and Setting X weeks, nominally xx hours, delivered in a classroom/online/blended learning setting.

Gather evidence to demonstrate consistent performance in conditions that are safe and replicate the workplace. Noise levels, production flow, interruptions and time variances must be typical of those experienced in the printing field of work and include access to relevant facilities, equipment and materials used for digital publication.

Assessors must satisfy NVR/AQTF assessor requirements.

Elements of Competency Performance Criteria
Element: Determine job resource requirements
  • Job requirements are correctly interpreted from client brief or job information
  • Scope of required human, financial and physical resources is identified based on job information
  • Costs are estimated according to chosen pricing models and estimating practices
  • Budget plans are established and checked against estimations to deliver accurate, documented costing
  • Scheduling and time management is integrated into project planning and monitoring
  • Human resources are incorporated within project framework
  • Business transactions are undertaken ethically and according to law

Element: Plan digital production workflow
  • Workflow stages are identified to determine sequencing
  • Workflow is sequenced for optimum production efficiency and job quality
  • Technical processes and protocols are integrated into the workflow
  • Need for new sequences is evaluated according to job requirements and feasibility tests
  • Evaluation mechanisms are incorporated at key stages of work
  • Workflow is documented according to project needs and enterprise requirements

Element: Monitor workflow and resources
  • Work processes and progress are monitored against plans
  • Colleagues are assisted to achieve outcomes with technical and other support
  • Actual job costs are documented and monitored against budgets, and variations are communicated to appropriate people
  • Need for variations is identified and adjustments made as required

Element: Finalise job
  • Job is completed with required outcome achieved within designated timeframes and costs
  • Estimated and actual costs are reviewed and used to inform future planning
  • Efficiency and quality of outcomes are evaluated and findings incorporated for future planning

Evidence Required

List the assessment methods to be used and the context and resources required for assessment. Copy and paste the relevant sections from the evidence guide below and then re-write these in plain English.

ELEMENT

PERFORMANCE CRITERIA

Elements describe the essential outcomes.

Performance criteria describe the performance needed to demonstrate achievement of the element.

1. Determine job resource requirements

1.1 Job requirements are correctly interpreted from client brief or job information

1.2 Scope of required human, financial and physical resources is identified based on job information

1.3 Costs are estimated according to chosen pricing models and estimating practices

1.4 Budget plans are established and checked against estimations to deliver accurate, documented costing

1.5 Scheduling and time management is integrated into project planning and monitoring

1.6 Human resources are incorporated within project framework

1.7 Business transactions are undertaken ethically and according to law

2. Plan digital production workflow

2.1 Workflow stages are identified to determine sequencing

2.2 Workflow is sequenced for optimum production efficiency and job quality

2.3 Technical processes and protocols are integrated into the workflow

2.4 Need for new sequences is evaluated according to job requirements and feasibility tests

2.5 Evaluation mechanisms are incorporated at key stages of work

2.6 Workflow is documented according to project needs and enterprise requirements

3. Monitor workflow and resources

3.1 Work processes and progress are monitored against plans

3.2 Colleagues are assisted to achieve outcomes with technical and other support

3.3 Actual job costs are documented and monitored against budgets, and variations are communicated to appropriate people

3.4 Need for variations is identified and adjustments made as required

4. Finalise job

4.1 Job is completed with required outcome achieved within designated timeframes and costs

4.2 Estimated and actual costs are reviewed and used to inform future planning

4.3 Efficiency and quality of outcomes are evaluated and findings incorporated for future planning

Evidence of the ability to:

manage digital production workflow for at least THREE different publications, including print and electronic:

determine required level of resource from client requirements

accurately cost the work

complete workflow planning

monitor workflow

manage resources

finalise jobs with required outcome and within required timeframe and budget.

Note: If a specific volume or frequency is not stated, then evidence must be provided at least once.

To complete the unit requirements safely and effectively, the individual must:

explain key considerations for management of a digital workflow process:

project planning and scheduling requirements

costing and resources issues

communication and approvals processes

work sequencing

work monitoring processes

content management

file management – naming, storage, saving, archiving

editing processes

distribution

outline costing/estimating methods for digital work

identify elements that can be adjusted in estimations if they consistently do not match costs

identify work health and safety (WHS) concerns to consider when planning production

describe key aspects of monitoring workflow and resources:

what needs to be monitored to maintain standards

who is involved in monitoring

role of keeping accurate production records

review of production records and actual costs

outline common causes of failure in each area of work monitored, and procedures to minimise the effects of these

discuss processes to make improvements that impact quality standards

outline evaluation and review processes for digital work

describe features of computerised production monitoring systems used to accurately assess costs.

Submission Requirements

Assessment Tasks

Copy and paste from the following data to produce each assessment task. Write these in plain English and spell out how, when and where the task is to be carried out, under what conditions, and what resources are needed. Include guidelines about how well the candidate has to perform a task for it to be judged satisfactory.

Copy and paste from the following performance criteria to create an observation checklist for each task. When you have finished writing your assessment tool every one of these must have been addressed, preferably several times in a variety of contexts. To ensure this occurs download the assessment matrix for the unit; enter each assessment task as a column header and place check marks against each performance criteria that task addresses.
